Zinam Consulting Inc., operating as Buzzmax.ca (“Buzzmax,” “we,” “us,” or “our”), is committed to protecting the privacy of visitors to our website and customers of our services, including AI Answering Service, Business Phone / Hosted PBX / Cloud PBX, Call Centre Solutions, Internet Service, and any other service we offer (collectively, the “Services”). This Privacy Policy explains what personal information we collect, why we collect it, how we use and disclose it, and the choices and rights available to you. This policy is intended to comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

We collect personal information in the following ways:

• Information you provide to us: name, company name, email address, phone number, billing address, payment details, and any message content you submit through our quote request form, sign-up forms, or when you contact our sales or support team.
• Information generated by your use of the Services: call logs, call recordings and transcripts (where a Service such as AI Answering Service or Call Centre Solutions includes recording, transcription, or summarization features), voicemail messages, extension and queue configuration, and usage data such as call minutes and number of active lines.
• Information collected automatically: IP address, browser type, device information, and general usage information collected through cookies or similar technologies when you visit our website, for the purpose of operating and improving our site.

Where our Services are used to handle calls, bookings, or messages on behalf of your own customers or callers, we process that information as a service provider on your behalf, and you remain responsible for ensuring you have the necessary rights and consents under applicable privacy law to have that information handled by Buzzmax.

2. Why We Collect and Use Personal Information

We use personal information for purposes including to:

• set up, provide, and bill for the Services you request;
• respond to quote requests, support inquiries, and other communications;
• operate features of the Services, such as call answering, routing, recording, transcription, and reporting;
• maintain, secure, and improve our network, website, and Services;
• meet legal, regulatory, and contractual obligations, including those under CRTC rules applicable to telecommunications providers; and
• with your consent, send you information about our products and offers, in accordance with Canada’s Anti-Spam Legislation (CASL). You may withdraw this consent at any time using the unsubscribe mechanism included in each message, or by contacting us as described in Section 8.

3. Consent

By providing personal information to Buzzmax, you consent to its collection, use, and disclosure as described in this Privacy Policy, except where we are permitted or required by law to collect, use, or disclose personal information without consent (for example, to comply with a court order or a lawful request from a regulatory or law enforcement authority). You may withdraw your consent to non-essential uses of your personal information at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us as described in Section 8. Withdrawing consent for information necessary to provide a Service may mean we are no longer able to provide that Service to you.

4. Disclosure of Personal Information

We do not sell personal information. We may disclose personal information to:

• service providers who help us operate the Services (for example, hosting providers, email delivery providers, payment processors, and telecommunications carriers), under contractual obligations to protect that information and use it only for the purposes we specify;
• a regulatory body, government authority, or law enforcement agency where required by law or a valid legal process, or to protect the rights, property, or safety of Buzzmax, our customers, or the public;
• a successor entity in connection with a merger, acquisition, or sale of some or all of Buzzmax’s assets, subject to that entity continuing to protect your information consistent with this Policy; and
• any other party where you have provided your consent.

Some of our service providers may process or store information outside of Ontario, including elsewhere in Canada or in other countries such as the United States. Where this occurs, that information may be subject to the laws of the jurisdiction in which it is held, including lawful access requests by that jurisdiction’s authorities.

5. Retention

We retain personal information only as long as necessary to fulfil the purposes described in this Policy, including to meet legal, accounting, or regulatory requirements. Call recordings, transcripts, and logs are retained in accordance with the settings of your plan and applicable law, after which they are securely deleted or anonymized.

6. Safeguards

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information involved to protect personal information against loss, theft, and unauthorized access, use, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Subject to limited exceptions permitted by law, you have the right to access the personal information we hold about you, to request correction of inaccurate information, and to ask questions about how your information has been collected, used, or disclosed. To make such a request, contact us using the information in Section 8. We may need to verify your identity before responding, and may charge a reasonable fee for certain requests where permitted by law, in which case we will provide you with an estimate in advance.

10. Children’s Privacy

Our Services are intended for use by businesses and individuals who are at least the age of majority in their province of residence. We do not knowingly collect personal information from children.
